CHS Health Services currently has a full time Practice Administrator/Site Manager opportunity to work in a new onsite health unit clinic with a client located in West Lafayette, IN. This role will work with a team of healthcare providers in this setting.

SCOPE:
Under general supervision, this position is responsible for managing and evaluating the daily operations of an onsite health unit at a clients’ worksite serving a patient pop! ulation made up of the client’s employees, spouses, and thei! r dependents. Reports to the Account Manager.

QUALIFICATIONS:
Minimum 5 years’ experience working in a clinical setting; minimum 3 years’ supervisory experience required. Bachelor’s degree required and preferred focus in healthcare administration working with a multi-disciplinary team. Budget and financial experience required. Primary care administration, practice management background and medical billing/coding experience highly preferred. Excellent presentation, oral and written communication skills required with strong analytical and problem solving skills. Basic knowledge of HR, quality processes, safety, ergonomics, infection control, and regulatory compliance required. Management experience should include financial, programs, and personnel management and development. Must have experience in successfully working with and leading teams. Proficiency with computer and common office equipment, as well as with MS Office products and practice manage! ment software required.

DUTIES AND RESPONSIBILITIES:

  • Supervises day-to-day operations of a clinic implementing clinic objectives, policies and procedures to include assignment and distribution of work as necessary.
  • Working with the Account Manager (AM) and Assistant Vice President (AVP), assesses patient healthcare needs and identifies trends for the site-specific client population; plans and implements programs and services for the specific population served.
  • Maintains telephonic, electronic and face-to-face communication with the AM/AVP regarding the operation of the health unit
  • Develops and maintains effective working relationships with the medical and administrative staff, client management, clinic patients, and community providers
  • Reviews statistics, collects data, interprets significant findings, and creates comprehensive reports for the client and CHS Health Services, Inc. with regards to clinic utiliza! tion or other data requested and is a co-presenter at client meetings/p! resentations.
  • Plans, organizes, and strategizes own workload independently; managing multiple projects, requests, and deadlines at once.
  • Selects and trains/orients department personnel.
  • Evaluates staff performance within delegated areas. Performance reviews for providers are completed with input from the QRCT Clinic Advisor. Works in collaboration with CHS Health Services, Inc. senior management regarding staff salary adjustments, promotions, and disciplinary actions.
  • Maintains credentialing documents and training/CEUs credits for clinic staff as directed by CHS Health Services, Inc. policy /procedure.
  • Interprets the collected clinic data and statistics for administrative and regulatory purposes, oversees preparation of reports, and answers correspondence.
  • Assists in helping senior management develop long-range plans involving new products, services and human resources.
  • Shares information and facilitates develop! ment of communication systems for staff, physicians and administration.
  • Pursues professional development activities and continuing education to ensure adherence with current clinic practices and trends in healthcare.
  • Identifies, compiles, updates, and implements site specific instructions and procedures.
  • Monitors daily and month end reconciliation of financial transactions performed at the clinic and ensures that contract charges are applied uniformly.
  • Protects patients by enforcing confidentiality, infection control procedures, assuring medication administration consistent with the state nurse practice act, and assuring proper storage and maintenance procedures for all equipment and supplies.
  • Ensures operation of medical and administrative equipment by verifying emergency equipment availability, completing preventive maintenance requirements, calling for repairs and evaluating new equipment and techniques.
  • Coordinates t! he Customer Satisfaction Survey program for the clinic and implements t! he program as per direction of the Quality Dept.
  • Investigates client complaints in a positive manner and reports back to the client and CHS Health Services, Inc. management team regarding outcome and recommendations
  • Analyzes the staffing model regularly and strategizes regarding future staffing models and workload distribution
  • Educates staff regarding availability of CHS Health Services, Inc. EAP.
  • Interfaces with other onsite CHS Health Services, Inc. team members to ensure continuity of care and superior patient care.
  • Resolves quality issues and contributes to unit effectiveness by identifying short-term and long-range issues or problems, examining solutions & options, recommending and implementing action plans and courses of action. Seeks direction from MCO, SDO, and/or Director of Quality as appropriate.
  • Seeks and maintains relationships with the client, public and professional agencies in order to maximize resources ! and ensure customer satisfaction.
  • Conducts regular staff meetings, maintains minutes and reports to CHS Health Services, Inc. management
  • Monitors the services of outside vendors and reports issues to CHS Health Services, Inc. management
  • Responsible for scheduling backfill for staff vacations and illness.
  • Assists in scheduling staff training
  • Seeks guidance from AM with regards to job activities.
  • Performs other related duties as assigned.
OTHER DUTIES:
  • May lead or participate in interdepartmental project groups or task forces to integrate activities, communicate issues, obtain approvals, resolve problems and maintain specific level of knowledge pertaining to new developments, new task efforts, contract awards, and new policy requirements.
  • Supports marketing/sales objectives and efforts as requested.
  • May be asked to travel for client meetings, presentations, etc. Travel less ! than 10%.
  • Performs duties in a safe manner. Follows the corpor! ate safety policy. Participates and supports safety meetings, training and goals. Ensures safe operating conditions within area of responsibility. Encourages co-workers to work safely. Identifies “close calls” and/or safety concerns to supervisory personnel. Maintains a clean and orderly work area.
  • Assists in active implementation of company initiatives to ensure compliance with OSHA VPP, ISO, JCAHO, AAAHC, and other mandated regulations/standards.
  • May serve on the OSHA VPP, Safety, and Wellness Committees.
